To ensure that your notice is published on time, please follow the steps listed below. If you do not follow these steps, we may have to delay the publication of your notice or charge additional administrative fees.
Please note that for security reasons, we do not accept notices sent by email. Furthermore, we do not send proofs for approval prior to publication; however, we always advise clients when substantial changes are made to their notices.
Non-federal Government Clients
As a non-federal government client (e.g. provincial and municipal governments, law firms, companies, non-profit organizations and individuals from the private sector), you are asked to ensure that a Request for Insertion Form for Non-federal Government Clients accompanies the notice you submit. If you submit several notices at once, only one form is needed; simply ensure that each notice is correctly identified on the form. Please indicate the name of the person we can contact to acknowledge receipt of the notice and Request for Insertion form as well as to confirm the publication date. (IMPORTANT: If by noon Monday [Eastern standard time] you have not received a call from us confirming receipt of your notice and its publication date, please contact us at 613-996-1268 [general number].) Clearly indicate when you would like your notice to be published and if you require an affidavit. Each affidavit costs $22.
All notices must be submitted in English and French. The Canada Gazette Directorate offers translation services, for a fee, for three types of notices: plans deposited, surrender of charter and relocation of head office. Please ensure that a signature block (name and title of an individual or name of a company) and a date appear at the end of each notice.

When submitting your notice for publication, please ensure the following requirements are met:
If your notice is a statutory instrument and its publication in the Canada Gazette is required by an Act of Parliament, you must register it with the Clerk of the Privy Council pursuant to paragraph 6(b) of the Statutory Instruments Act. Ensure that you send the appropriate number of copies to the Privy Council Office for registration. When submitting your notice on diskette or CD-ROM for publication, please follow these steps:
Part I
If your notice is six pages or less, we must receive it before 12 noon (Eastern Time) six business days before the date of publication. For publication dates and related deadlines, see the 2010–2011 Publication Deadline Schedule.
If your notice is more than six pages, please make special arrangements well in advance of the publication date with Josée Boisvert, Manager, Editing Services, by telephone at 613-943-5261.
Part I is published every Saturday but is available on the Canada Gazette Web site as of 2 p.m. Friday.
Part II
While the Canada Gazette Directorate is responsible for the editing, printing and distribution of Part II, the Treasury Board Secretariat (TB) and the Privy Council Office (PCO) determine the content of the publication as well as the related deadlines.
Regulations and other regulatory texts that require the approval of the Governor in Council must be submitted at a TB meeting and approved prior to being published in the Canada Gazette, Part II. Departments and agencies must therefore submit the regulations and all necessary documents to PCO’s Orders in Council Division, which will add them to a TB meeting agenda depending on the date on which the documents are received. Bulletins containing the TB meeting dates are available semi-annually from your departmental regulatory coordinator.

Part II is published every other Wednesday and is available on the Canada Gazette Web site at 9 a.m. on the day of its publication.
Non-federal Government Clients

The publication of extra editions in the Canada Gazette, Part I and Part II, is warranted for the following reasons:
Reasons No. 4 to 8 must be substantiated in writing by an official who has the authority to speak for or on behalf of the Minister responsible for the requesting department or agency prior to the publication of an extra edition.
In cases where reasons No. 1 through 8 are not applicable, the Canada Gazette Directorate must obtain a written request from the Office of the Minister responsible for the requesting department or agency prior to the publication of an extra edition.
Part I extra editions cannot be published on the same date as a regular Part I issue (every Saturday).
Part II extra editions cannot be published on the same date as a regular Part II issue (every other Wednesday).
Extra editions are NOT published on a Sunday.
